- Records of medicines you have been prescribed by a doctor or other qualified prescriber, and which have been supplied by this pharmacy
- Details of medicines you have purchased without a prescription (over the counter medicines)
- Other notes about your health and medical treatment
- Information relevant to your continued care shared by other people involved in your care, such as other health professionals or relatives
- Information about services we provide to you (for example, vaccinations, medicines reviews, stop smoking services)
3. How We Use Your Information
We process your personal data, including information related to prescriptions and any other pharmacy and healthcare services we provide to you.

To provide pharmacy services and care to you and, where appropriate:
- to receive service and health record information when you select our pharmacy
- to share relevant information with your GP and others in the wider NHS

To help us receive accurate payments for services provided, we may share your information with:
- the NHS Business Services Authority
- NHS England and others within the wider NHS
- Local Authorities (where necessary)
We may also share limited information with organisations outside the NHS who support payment negotiation and accuracy checks.
c) Management, governance and quality
To ensure we meet professional and service standards, your information may be shared with:

5. How Long We Keep Your Information
We hold your information for as long as advised by the NHS and in line with relevant retention guidance and legal requirements.
6. Electronic Prescriptions and Access to Records
We may ask if you wish to nominate our pharmacy for your future electronic prescriptions. If you choose to nominate us, you can change or cancel your nomination at any time by speaking to a member of the pharmacy team.
Our pharmacy professionals may consult relevant records to support your care, such as:
- NHS Summary Care Records
- local shared care records
We follow NHS protocols for the use of these records and may ask for your permission to access certain health records where appropriate. Access helps ensure relevant medical information is visible to our pharmacy professionals when supporting your care.
7. Your Rights
You have the right to confidentiality under:
- the UK General Data Protection Regulation (UK GDPR)
- the Data Protection Act 2018
- the common law duty of confidence
We also comply with the NHS Code of Practice on Confidential Information. Pharmacy professionals must keep records about you confidential, secure, and accurate.
All staff contracts include a requirement to keep patient information confidential.
National Data Opt Out
You may choose to opt out of the NHS using your data for planning and research purposes. You can do this by:
- visiting the NHS “Your NHS Data Matters” website
- using the NHS App
- writing by post using the instructions on the NHS website
- calling the NHS Digital contact centre: 0300 303 5678 (Monday to Friday, 9am to 5pm)
Our guiding principle is that we hold your records in strict confidence.
8. Your Right to Access Your Records
You have the right to request a copy of the pharmacy records we hold about you (usually in paper or electronic form).
- There is generally no charge for a copy of your information
- We must respond within one month
- You will need to provide enough information so we can identify you (for example: full name, address and date of birth)
- You may be required to provide identification before information is released (for example: passport, full driving licence, or bank card)
If you believe any information we hold about you is inaccurate, please let us know so we can correct it.
You may also object to us holding your information in certain circumstances.
